The Associate Lease Administrator is responsible for maintaining a systematic and accurate database, developing, and circulating timely internal reports and facilitating day-to-day workflow requirements. To find success in this position, lease administrators need to provide exceptional lease administration operations and support, while building effective working relationships amongst the lease administration team, client, and greater account team.

Essential Duties & Responsibilities

The responsibilities of the Associate Lease Administrator include, but are not limited to:

  • Review lease abstract data including various legal documents such as Leases or Agreements; complete and input lease abstract data into the required portfolio administration database for assigned properties
  • Timely process documents, including abstracts and data entry for new leases, owned assets, change forms, etc. within contractually defined timeframes
  • Identify invoices that do/do not match the rent forecast and reconcile exceptions, including, if necessary, interaction with landlords and client to resolve discrepancies
  • Run and prepare monthly reporting
  • Update database using quality assurance reporting
  • Advise Senior Lease Administrators of account status via document tracking tools
  • Proactively provide updates and field internal inquiries relating to changes in the portfolio and lease administration activity
  • Complete CPI/prorated rent adjustments and estoppel reviews
  • Ensure all data is entered accurately and completely
  • Assist with client deliverables such as submission of monthly reports and rent recommendations
  • Participate and execute on team/account initiatives and special projects as required
  • Effectively communicate with client contacts as needed to address concerns, discrepancies or general inquiries around data and reporting


Skills & Attributes
  • Ability to coordinate and participate in meetings as required
  • Intermediate math skills including ability to calculate CPI increases, percentage change, etc.
  • Capacity to develop and produce compelling spreadsheets/deliverables
  • Proficient in Microsoft Office software (Word, Excel, PowerPoint, etc.) and lease administration databases
  • Capable of planning and leading meetings as required, including developing agendas, preparing presentations, driving consensus, and delegating follow-up tasks
  • Excellent oral and written communications skills
  • Self-starter and solutions-oriented, with exceptional attention to detail
Experience & Education
Bachelor’s degree from a four-year college or university; or 1+ years related experience and/or training; or equivalent combination of education and experience
