“Two Heads are Better Than One” When Searching for Office Space

Remember the old adage “two heads are better than one”? When searching for office space, one of the “other heads” might be a Project Manager. Why? Because they think differently and see things differently than Tenants and real estate brokers.
When Project Managers walk an office space, they are thinking …
> Is the floor level?
> What does the ductwork and air distribution look like? Where are the VAV units? Are we sharing AC zones with another Tenant?
> What is the condition of any existing walls or finishes?
> Is the lighting out of date? Are the bulbs T-8 or T-12 lamps? Warm light or Cold?
> What is the condition of the Landlord supplied items?
> Are the demising walls in place? Are they insulated? Is the Tenant’s portion hung yet?
> What condition are the blinds in?
> Are there available circuits in the electrical panels?
> Is there evidence of water intrusion at the perimeter windows?
> Can you hear the toilets flush from the Tenant space?
> Who is the neighbor? Is it a client that requires total quiet? Are they loud? Do they get many visitors off the street?
The answers to these observations can mean “real money” to a company that is considering relocation!
When Project Managers are included early in the process of searching for new space …
> They work with the Tenant to understand their company, how they work, their culture, and what works in their current space and what doesn’t.
> Project Managers transfer that knowledge to the space planners by speaking a language the planners understand. They provide adjacencies, efficiencies, layouts and a prioritization of items the Tenant has requested.
> They develop a list of pricing notes or performance specifications so bidders can price the space “apples to apples”.
> Project Managers assist the General Contractor so that the bid is accurate, complete and reflects the desires of the Tenant.
> They know what is to be included in the Tenant’s allowance thereby making it easier for the General Contractor to prepare a bid. By offering accurate information to the General Contractor, the bid is usually lower in price, since “guessing” and assumptions are taken out of the equation.
> By meeting with the Tenant early, Project Managers know what the company plans to do about furniture, cabling, IT and relocation and can then formulate budget pricing for these items as well. Project Managers can then provide an “all in” cost to the Tenant and Broker, which aides in the negotiations with Landlords, rather than just having a construction estimate.
So, if you are considering relocation, use a Project Manager from the very beginning of the process to save money and facilitate lease negotiations. Two heads are truly better than one!

We Believe

Last week over half our company converged in sunny Miami to discuss, among other things, what is it that makes Cresa such a success?
In other words: What is Our DNA?
During several great days of team building and camaraderie, I have to say my personal highlight was a two hour Saturday morning session led by Tom Birnbach and Dan Shapiro of our Washington DC office where we discussed why we all worked at Cresa.
In the next two hours something special took place as professionals from across the company explained on an individual basis why they felt as they did about working for Cresa and serving our clients.
Words and phrases were flying around, getting written down on poster boards and in the midst of it the following words seemed to coalesce in my mind, compelling me to write them down and to share them:
We Believe
1. We believe that the current model of commercial real estate brokerage is inherently broken and unfair to tenants.
2. We believe that tenants deserve more (of everything!) than what our industry has traditionally offered.
3. We believe our role as Cresa Advisors is to change the rules and disrupt “typical industry practices” to the benefit of our clients.
4. We believe the best way to do this is to encourage an internal culture that is collaborative, promotes excellence, and whose mission is to serve others before ourselves.
5. We believe we are in a different business from our competitors.
It is my sincerest hope that the words above will serve as a starting point for our team and our clients (past, present and future) to start a discussion that will bring us closer together, drive greater success, and increase all of our personal satisfaction.

The Shrinking Office

Flipping furniture results in smaller real estate footprint

There is a new trend of corporate downsizing afoot, but it’s not what you think.
As our workplaces evolve to accommodate the needs of a multi-generational workforce that encompasses vastly differing views on the best use of space and how they prefer to work, one thing is for certain: their offices and workstations are getting smaller.
The primary driver for change in office space has always been the evolution of the tools we use to write and communicate with one another. What began with pens and inkwells gave way to typewriters, which in turn evolved into the desktop computer. Now much of the bulk of that computer is gradually being replaced by slim monitors, mini towers and portable laptops. Combine these advances with networked printers and cloud computing – even tried-and-true paper is giving way to electronic storage media.
But if the technology we use to do our jobs has changed, why are we still at the same desk?
Most of the clients we visit are still sitting at large desks and workstations built to accommodate the technology of the past. Yet a trip to any office furniture showroom in town shows office standards are shrinking as the way people work continues to change. Workstations are generally smaller with lower panel heights, allowing for more collaboration and for the penetration of natural light. Enclosed rooms more frequently incorporate sliding doors and employ furniture that is reconfigurable to allow use as a private office or a small meeting room.
No longer should 200 square feet per person be used as an industry benchmark; for most companies, we’re seeing the more appropriate metric is closer to 150 to 160 square feet per person, a reduction of 20 to 25 per cent.
The challenge is that the pace of technological innovation has outpaced the cycle of office space replacement and most firms aren’t prepared to change out their entire furniture inventory every five or 10 years as their leases expire.
The problem we see is most firms don’t look at the cost of furniture in the context of what might be saved from a reduced real estate footprint because, for the most part, the people trying to sell you furniture just don’t do the right math.
From my experience, a company with 50 people paying an average of $35 per square foot per year in rent, with furniture that’s more than 10 years old, would normally be occupying a space of about 10,000 square feet. However, if the firm were to relocate to a smaller, more efficient space of 8,000 square feet it would save upwards of $70,000 per year.
Over a five-year lease, that equates to $350,000 in reduced rent. Depending on the organization, my experience has been that the cost of making the change (i.e. buying furniture, constructing new space, etc.) is usually paid back over two to three years, which makes for a very sound investment.
Commercial space isn’t getting any cheaper and the pace of innovation isn’t slowing down. At the rate we’re going, the office of the future is going to be very different from the workspace we occupy today. But one thing is for sure: it will definitely be smaller.

Record Smashing Funds Raised at Fight For The Cure 2012: $238,000!

Oh what a night. History was made as two political tides collided and a huge amount of cash was raised for the Ottawa Regional Cancer Foundation: $238,000 at the latest tally. Oh and I won my bout. (grin)
I want to give a huge hats off to the politicians, Justin Trudeau and Patrick Brazeau, who put their faces and their egos on the line for a good cause. It’s clear that we wouldn’t have come close to raising this level of support without their involvement. Many thanks gentlemen.
A special thanks to my wife Susan Fleming. This event demands so much time from the fighters that it’s easy to forget that while I’m sweating in the gym that someone has to pick up the kids and keep the family together. I couldn’t have done this without such amazing support. Even though I may not always say it, I am extremely thankful and proud to have Susan in my life.
As well I wanted to congratulate all the other white collar and amateur fighters who also put themselves on the line. A great job by all.

Taking the Fight to Cancer!

Dear friends:It’s the last day before my fight and I just wanted to say a big thank you to all of you who took the time to support me and my Fight For The Cure. Together we’ve raised over $3,000 in less than a week and cumulatively the six white collar fighters have raised over $20,000!
Fight For The Cure 2012 is already a sell out and I highly expect we’ll hit our goal of raising $200,000 for the Ottawa Regional Cancer Foundation.
Some of you saw my shiny black boxing robe in San Diego last year with the Cresa logo emblazoned on the back and I can’t tell you how proud I am to wear it once again as I step into the ring.
I’ve hit my goal weight of 200 lbs (that’s down almost 30 lbs from last year) and I’m feeling great.
It just goes to show how even in our busy and hectic lives if you make something a priority you can accomplish anything.
The experience has been life changing for me and has already been a huge success both personally and for the Ottawa Regional Cancer Foundation.
Now the only thing left to do is fight!

Support My Fight For Cancer Research

As some of you know, last year I was involved in a white collar boxing event to raise money for cancer research where my opponent was my Landlord! And I won!
But the big winner was the Ottawa Regional Cancer Foundation for whom we raised over $40,000. So I am fighting again on March 31st and this time it’s versus a broker from one of my competitors.
This year we also have the son of one Canada’s most famous left wing Prime Ministers, Justin Trudeau fighting a senator Patrick Brazeau from the right wing Conservative party. For my US cousins that would be like the son JFK fighting a Republican. Needless to say the media is having a heyday and the event is going to be a smash.

Before I met Donna Deknatel and came to work with her and her team at Carefor, I felt very passionately that a commercial real estate broker’s role was limited to acting solely as a space finder and deal maker.
